Schoolzine’s SZ eNews Platform is an easy to use system that allows you to create a simple Word Document Newsletter and submit it to be constructed into a complete Online Newsletter by our skilled Digital Content Specialists.

Before putting together your first newsletter, there are a few things you will need to do to get you started.
We recommend setting up a template folder, which you can then copy and rename for each newsletter. This will help save you time and make it easier for you to compile each newsletter.
Inside your template folder you should have:

As you will be uploading content to us through your Control Centre, the file size of your images is very important. Large files may experience lengthy upload times, and if the file size is too big, you will not be able to upload it at all.
We recommend you that download the Schoolzine Image ReSZizer to process your images. This software is free and allows you to resize all of your images at the same time.

It is important that distribution dates are scheduled before starting a newsletter, otherwise you will be unable to upload your content.
You will need to fill in the school details in the Schoolzine Newsletter Template with the Newsletter Date, your School/College Name, as well as your Name and Email.
The style menu allows you to quickly apply custom Schoolzine styles to your content, so that you do not have to colour and style the newsletter content individually. It is important that the template styles are used in your newsletter, as it allows Schoolzine to format your content accurately. This results in quicker turn-around times and less changes during the amendment process.
The style menu should appear by default in the Menu ribbon at the top of your document. If it does not appear here you can access it by pressing Shift, Control, Alt and S.
To begin adding your newsletter content, you can either copy and paste your content or type directly into the template.
Here are a few tips to make the process easier, and to cut down on changes in the amendment process:
Once all of your newsletter content has been added to the template, you will need to apply heading styles to your articles.
Heading 1’s are used for the main headline for each article. To apply, select the text and press the Heading 1 style in the style menu.
Heading 2’s are used for sub headings. To apply, select the text and press the Heading 2 style in the style menu.
To add an image in your content, type the file name in the spot you would like the image to appear and style it with the Image/Attachment style.
To add a caption, type Caption: and the text you would like to display under the image reference. Make sure the caption is styled with the Image/Attachment style.
Images can be floated next to a paragraph of text, allowing the text to wrap around the image. To insert a floated image within your content, type the file name with either (float left) or (float right) next to it and mark it with the Image/Attachment style.
If you have 5 or more images that you would like to add in the one spot in the newsletter, this will go into the newsletter as a gallery. To make it easier to reference the gallery, place the images in an appropriately named sub-folder in your images folder. Then type the folder name in the spot you would like the gallery to appear and style it with the Image/Attachment style.
If you would like a specific name for your gallery, type Gallery Name: with the name you would like the gallery to be called, under the gallery reference. Make sure the gallery name is styled with the Image/Attachment style.
To add a PDF file in your content, type the file name in the spot you would like the file to appear and style it with the Image/Attachment style.
If you would like the PDF file to be displayed as an image in the newsletter, type Embed next to the file name.
To add a video in your content, type in the video’s URL (web address) (eg. www.youtube.com/abcd1234) in the spot you would like the video to appear and style it with the Image/Attachment style.
By default Schoolzine will embed all YouTube and Vimeo videos. This means that your community will not have to navigate away from the newsletter to view the video. The video URL (web address) will also be placed into the Print PDF version of the newsletter.
The Bold, Italic and Underline styles can be applied to your newsletter content. All three styles can be used at the same time if needed.
Coloured text can also be applied to your newsletter content. The colours available are:
We don’t recommend using yellow as it is hard to read on the white background of your newsletter.
Bullet points and numbered lists can be applied to your newsletter content. If you would like a list to be included, use the default styles from the menu ribbon.
If you have an article, paragraph or quote that you would like to stand out from the rest of your newsletter, we can format the content with either a coloured border or a coloured background.
Submit the content in a single cell table with Insert Border Table or Insert Colour Table above it. If you do not indicate which style you would like to use, we will pick one based on the content supplied.
When submitting a table make sure content is separated into its own cell, otherwise related content may no longer align properly.
If you would like to include a borderless table, remove the borders from the table using the table settings in Word.
Please do not use the Tab key to create spaces between words. Tabbed data is unable to be replicated in your newsletter, as tabs are automatically removed from your document when it is run through our engine
If you would like to include this content in your newsletter, we recommend using a table or an alternative formatting style such as dashes ( - ).
Advising newsletter contributors about the recommended format for newsletter content cuts down on the changes you will need to make when putting the newsletter together.
Send the following document to your newsletter contributors to give them a guide for supplying content.
Once you are ready to start putting your newsletter together, you will need to prepare your files for upload.
Now that you have a Template folder set up, each time you go to create a new newsletter, copy and paste your template folder. This will create a copy of the folder called Template - Copy.
Rename the folder to the date of the newsletter (eg. 10th July). Open the folder and rename the Schoolzine Newsletter Template inside the folder to match the folder name (eg: 10th July.docx).
Place all of your images and galleries into your Images folder.
If you have 5 or more images that you would like to add in the one spot in the newsletter, this will go into the newsletter as a gallery. To make it easier to reference the gallery, place the images in an appropriately named sub-folder in your images folder. You will then only need to reference the folder name.
Place all of your attachments into the Other folder.
We require you to convert all of your files, including Word, Excel, Power Point, and Publisher files, into PDFs. PDF files can be viewed and printed on virtually any platform, meaning your community won’t miss out on important information. PDFs also prevent the document from being edited and will stop the appearance from changing.
If you have a video that you would like to include in your newsletter, we recommend uploading them to YouTube. YouTube accounts are free to create and videos can be hidden from the general public.
We recommend changing your account settings, so that all videos by default are set as Unlisted. Unlisted videos can only by viewed if you have access to the video URL (web address), they do not appear on your YouTube channel and cannot be searched for.

Videos can be easily uploaded to your YouTube account from your desktop computer or from a mobile or tablet.
If you have received content from others you may have received this from a number of different means such as email, or even multiple word documents. It is important that this content is cleaned prior to being brought into the Schoolzine Control Centre as this will often carry existing styling, fonts etc that may affect the way your content is displaying, or accessed by the community.
Note: You will need to apply Schoolzine styles for headings, bolds, italics, and hyperlinks etc that may have been included in your original content.

Images placed directly into your Schoolzine Newsletter Template are unable to be extracted when your document is run through our engine or placed into the content window within the Control Centre. However, you are able to extract them from your word document if they have been submitted to you in this format.

Before uploading your newsletter content, we recommend first reducing the file size of your images by processing them through the Schoolzine Image ReSZizer. This will cut down on the time it takes to upload your files.
You will also be able to adjust the height and width of your images to fit various other features within the Control Centre, such as Side Panels, Emails, Websites and SZapp Notifications.
This software is free and allows you to resize all of your images at the same time.
You can install the program by clicking one of the links below. Once downloaded, launch the file and follow the installation steps.

This should only occur for Windows 10 users, however, upon running the ReSZizer installer, you may be greeted with a "Smart Screen" prompt (see image below). If this occurs, just click more information (if applicable), followed by "Run".

You are able to control what dimensions your images are sized to by assigning a Profile before you click Resize.

Images contain certain background information known as Meta-Data that control varying aspects of the image, such as Size, Rotation, Preview Text, etc. Both your Desktop Computer and online platforms such as the Schoolzine Control Centre can interpret this background Meta-Data in different ways. This can lead to images being the correct orientation on your desktop computer but display incorrectly once uploaded online.
You can use the Schoolzine Image Resizer to reset the Meta-Data of your images. Simply make sure they are the correct orientation on your Desktop Computer, then run them through the Schoolzine Image Resizer. Even if your images have been resized previously, this will reset the Meta-Data to the correct Orientation.
Occasionally the Meta-Data can be locked onto the image and the Schoolzine Image Resizer is unable to reset it correctly. To resolve this you can follow the below steps:
This should Hard Reset the Meta-Data on the Image and set the Orientation to the Correct Orientation.

The ReSZizer will save the resized images over the top of the original files, so if you think you will need the original images later, save a copy of these files to another folder.
You cannot resize PDF or video files. The Image ReSZizer is for image files only.

Once your newsletter content is all ready to go, you can upload it through your Control Centre. Once we have received your content, your newsletter will enter our Production queue to be built.

Some important information regarding newsletter build times:
Make sure that before you upload your content, you have prepared your image and attachment folders.
Make sure that you have resized all of your images and galleries. The easiest way to do this is through the Schoolzine Image Resizer. Large files may experience lengthy upload times, and if the file size is too big, you will not be able to upload it at all.

Zipping your folders allows you to upload multiple files at once. It is not necessary to zip a single file such as the Schoolzine Newsletter Template.
PLEASE NOTE: If you do not hit the Submit Newsletter button, your upload will not be finalised and your newsletter will not enter the Production queue to be built.
There are a variety of options available to amend the content of your newsletter during production. These options can be accessed by logging in to your Control Centre.

This is a guide to assist you in formatting your newsletter.
To indicate your changes, all you need to do is highlight the text:
Highlight any changed/new content in Yellow.
Highlight any content that needs removal in Red.
The highlighter tool can be found in the Font toolbar in the menu ribbon.
Submit additional images, PDFs and other media files.
Request the Production Team contact you via telephone to process minor amendments.
Send the Production Team a brief message requesting minor amendments.
Use DIY amendments for grammatical and spelling updates.
DIY edits are enabled for all Schoolzine Newsletters. It’s easy to quickly make small text based edits, such as punctuation and spelling mistakes, prior to sending the newsletter to your community.
If you have made amendments to your newsletter and need to revert the changes you can do so by selecting the ‘Revert all DIY Amendments’ button located in your Control Centre on the Newsletter. |

Once your newsletter is ready to send to your community, you can log into your Control Centre and approve and distribute your newsletter all in one step.
PLEASE NOTE: If you select Review campaign before distribution, you will need to make sure you send the system created campaign, rather than making your own campaign, otherwise your newsletter will not be archived. |
Once your newsletter is ready to send to your community, you can login to your Control Centre and approve and distribute your newsletter all in one place.
If you are not using the Schoolzine Control Centre to Distribute your Newsletter, and instead are using another external platform, you are still able to distribute your newsletter by adding the URL to the messages that you send. To make this process seamless, follow these easy steps:

If you are wanting to add the Newsletter as a PDF, you can use the "Print Newsletter" button from the Preview to load the PDF Version. Simply Save the PDF and add this to your External Distribution Method

It could mean that your Newsletter has not been published correctly. You can follow the steps outlined previously in this guide for Newsletter Publishing
If you have scheduled a Campaign through the Schoolzine System and have found that you require changes to be made to it prior to it being sent, you have the ability to Pause Campaign, Set as Draft or even Delete if no longer required. These options will only be available if the campaign is still in the Scheduled status.
Once your social media account/s have been linked, you will be able to share your newsletter from the Schoolzine Control Centre. You can share it straight away, or put in a custom message if you need.

Schoolzine has two types of Newsletter Advertising Subscriptions you can choose from. Sponsored being Schoolzine sourced advertising and Platinum being school sourced advertising or you can have no advertising at all.
Please note not all regions are eligible for the Sponsored Newsletter Subscription.

The Sponsored Newsletter Subscription will have advertising that is sourced by our team but has a reduced subscription cost compared to the Platinum Newsletter Subscription.
There are specific zones setup on your newsletter where the advertising will appear.
Filler ads will be added to the respective zones in your newsletter till the zone has been sold.

The Platinum Newsletter Subscription costs slightly more but will give you full control to source and add your own advertising to your Schoolzine Newsletter. This subscription will also allow you to remove advertising entirely from your newsletter.
